Minutes of Reporting Task Force Work Group

Review of Minutes for September 11, 2003

The minutes were approved with no changes.


Announcements/Updates/Miscellaneous Items

Ben Phelps was present at the meeting and will be the liaison between the functional group and the technical team (he has projected his work with this project at .25 FTE). Ben has also taken a position with MOREnet as Manager of Organizational Performance.
Bob Mullen reiterated the eventual goal of having the technical team and the functional group combined in meetings to work together.

Cindy Martin announced that the Sponsor and Point Person for Outreach & Extension are Rhonda Gibler and Cindy Martin respectively.

Discussion took place regarding “frozen” data. As a note, frozen data will need to be addressed in the data warehouse.

The Web Cast Update from Academic Impressions will be held on October 22, October 29, November 5, and November 12 from 12:00 –2:00 p.m. CT. We can have four sites running the website. There will need to be a contact person to send the password for the web cast, information on how it will be projected, room information, and equipment needed. Contact people include Art Brooks-Rolla; Bob Mullen and Ed Mahon – UM and UMC (Matt Levsen will inform Bob how many will be participating from University Hospital & Clinics). The cost for the web cast will be $1,225 – the group decided to divide this cost among the seven business units ($175 each).

Regarding the MU IAT Strategic Plan sent by Bob under separate email: Though the document is still in draft form, it is good to see the progress that is being made.

The Task Force conducted a quick review of the document “Information Repository: Functional Working Group Charge, Plans, and Documentation.” Each member is to send ideas or changes in verbiage via email to Bob. This document will eventually be posted to the Vice President for Academic Affairs’ website.


Project Timeline

Bob distributed the Task Timeline for FY2004 (DRAFT: 10/06/03). There is a great deal of interest in conveying the Task Force’s expectations on dates of completion of various tasks and identifying the progress being made regarding data mart and report library development. In addition to those already depicted on the timeline, group members are to provide to Cindy Martin via email a list of 5-10 milestones, the order in which these milestones need to be completed, and the projected length of time for completion.

 

Lunch with Technical Team

The following individuals from the Technical Team joined the Functional Task Force for lunch:

Randy Wiemer, Associate Director of Information Technology; Ben Phelps, Team Lead Reporting; Michele McFadden, Principal DBA; Jim Casstevens, Principal DBA; and Phil Leith, Principal Systems Administrator.

The IT team was updated on progress that has been made during the functional group meetings. Randy Wiemer updated the group on technical needs and the information that the Task Force will need to provide to the IT team in the future.

 

Work Team Meeting Results (Break-out Session)

Bob presented the Academic Administration Component of the warehouse (this is an integrated screen with HR and Finance with five areas in priority order):

 

 

Larry presented the Student Component of the warehouse by beginning with the existing list and adding information to it (Refer to Attachment 1 below).

Re-evaluate Timelines

With input from the group, the Task Force will prepare a plan (decision points included) for what is due by June, 2004. Cindy and Bob can work on the plan and timeframe, share it with the IT Team, and then ultimately present it to the Vice Presidents.
