BPM-706 Accidents - Rented Vehicles

University Vehicle Definition

Under this policy, a rented vehicle includes any vehicle rented or leased by or for the University for official business.

Reference: BPM 507, Car Rental Services, provides information about insurance offered by car rental companies, and BPM 804, Self Insured Coverages, details information about University insurance coverage.

Reporting Accidents Involving Rented Vehicles

Rental Company Process

Follow the process indicated by the rental car company to report accidents involving rental cars. If the rental was billed to the corporate charge card, the driver should also contact the corporate card company directly. The number is on the back of the charge card.

 
Written Report Required

If another vehicle was involved or there was bodily injury or death, accidents involving a rented vehicle, regardless of the amount of damage, must be reported on a Vehicle Accident Report, Form UM 5, and submitted to the campus or UM contact within 24 hours.

Copies of the rental agreement and rental invoice must be attached to the vehicle accident report at the time of submission.

Exchanging Information with Other Drivers

It is important to exchange information with other drivers involved in an accident, regardless of where the accident occurs. Missouri law requires that drivers involved in an accident causing bodily injury or property damage, stop and exchange the following information with the other driver(s) or injured parties; name, address, vehicle license number, driver's license number, and insurance information. If this is not possible, give this information to the nearest law enforcement officer or to the nearest police station or judicial officer.

Note: Violation of this law constitutes a felony making the driver subject to punishment.

Statements Regarding an Accident

An employee who is involved in a vehicular accident must not discuss the accident with anyone except representatives of the University, its self-insured claim's administrator, the rental car company, or a law enforcement officer.
