Document Direct User Guide
- To start Document Direct, go to Start --> Programs --> DocumentDirect OR click on your Document Direct shortcut. The Document Direct window will appear.
- To begin the login process, click File --> Document Explorer or click the second icon from the left.

- To start Document Direct, go to Start --> Programs --> DocumentDirect OR click on your Document Direct shortcut. The Document Direct window will appear.
- To begin the login process, click File --> Document Explorer or click the second icon from the left.
- You should now see an entry called RMS Production. Click on the icon to the left of RMS Production. This will bring up your Attach to Server box.

- Type in your CICS account, if not displayed, and your password.
- Click OK.
- If you get the following error, it could mean that you typed your password incorrectly. Try again. If you are unsuccessful a second time, your password may be expired.

- Go to Options --> Password Maintenance and complete the Password Maintenance box.
- If you are unsure of your password, call the ITSS Help Desk and they will reset it. Once it is reset, you must change it. Use the procedure above. Please note that a password expires every 60 days.
- Once you are logged on, RMS Production will expand to Report and Topic. Click on the '+' sign to the left of Report or Topic, to expand the reports or topics you have access to. Throughout this document we will be referencing Report, but the procedure is the same for Topic.

- Click on Locate to aid in finding the report you need to view. The Locate box will appear. Enter the report name (or prefix, if the entire name is not known) in the Report ID box and click Locate.

- The requested report should be at the top of your list. (Or near the top if a prefix was entered). Click on the '+' sign to the left of the Report ID to see the available versions.

- Click on the '+' sign to the left of the desired version. This will expand the report's index. The index will help you even further in locating the data needed. Please note that all reports are not indexed.

- If you need to view an archived version (the version will state CART - Recall required), double click on the version you need and a recall box will appear. Click OK.

- The version should be back online within 10 minutes of the recall, depending on the size of the report and the activity on the system. Click the Refresh button to see if the report status has changed to Disk - Available. If this has not occurred, click Refresh again a little while later. Do not keep recalling the same report over and over again. This just slows down the process. If the report is not available within an hour of the request, call the ITSS Help Desk for status.

- The report we are using in this documentation has an index. If you are viewing a non-indexed report, you will see the number of pages of the entire report after you have expanded the version. We try to index all large reports to make online viewing easier, where very small reports are not indexed. If you are viewing a report that could or should be indexed, contact the RMS administrators at ProdSupport@missouri.edu.
- Once the index is expanded, you may need to find a specific section. Click on Locate to bring up the Locate dialogue box.

- Enter the section you want to view in the Section ID box and click Locate. (The UFAS statements used in this document have the college/department number as its index.)

- This will bring the requested section to the top of the list. You can do another LOCATE, if needed. This may be helpful for the Ufas statements and the multiple account numbers associated with each college/department. Always enter your requests as they appear in the index, using spaces and hyphens. You can also scroll down or up the screen, using the arrows on the right side. Once you find the account number, highlight it and click Open.

- You are now in the report. You can scroll down the report using the Page Down key on your keyboard. This will segment you through the page. Clicking on the Next Page icon will move you directly to the subsequent page.

- In an open document, you can right mouse click anywhere on the page to bring up a Context menu of frequently used commands. The Copy to Clipboard function is a true cut and paste.

- The section you are viewing is always displayed in the lower left box. (It will be blank in reports that are not sectioned.) The page you are viewing, plus the number of pages in the section, are found in the lower right box. Non-sectioned reports will display the total number of pages, along with the page you are viewing.
- Many functions are found on the DocumentDirect toolbar. All of these functions are shortcuts to things found in the pull-down menus. The ones mentioned below are functions you may frequently use:

- Exit Document Direct
- Display Documnet Explorer window
- Start/stop script recording
- Play back a script
- Start DocuAnalyzer
- Go to a page in an open document
- Page up in an open document
- Page down in an open document
- Page up to the previous sub-page of the current document
- Page down to the next sub-page of the current document
- Print the current page
- Copy current selection to the clipboard
- Undo last action
- Find text in an open document
- Find next occurrence of text in the open document
- Clear view
- Rotate image counter-clockwise 90 degrees
- Rotate image clockwise 90 degrees
- Enlarge page by 25%, centering any marked data or the part of the page in the viewing area.
- Reduce page by 20%, centering any marked data or the part of the page in the viewing area.
- Display annotations
- Edit annotations
- Load a policy
- Edit or create a policy
- View Help
- To print a report or section of a report, click File --> Print.

- A Print dialogue box will appear. Click on Setup. The Print Setup box will appear. Verify the orientation (UFAS statements should be Landscape) and click OK.

- Finally, verify the pages you need printed and click OK. Always check the bottom of your screen for sections and pages. This ensures the accuracy of your printing. Click File --> Export to export data to a file for use in other PC applications.

- The Export To File dialogue box will appear. As with printing, verify the pages or section that you are exporting. In the Filename field, specify the location or path along with a file name. It is also helpful to attach an extension on your file name, like .xls for Excel files. Click Save.

- Before printing or exporting your report, you may want to hide some titles or information that are not needed. This is especially useful when exporting data for Excel. To hide information, highlight the area with your left mouse button. Click View --> Hide.

- The Hide dialogue box will appear. The Current Mark button is selected since it knows you have highlighted some text. You can extend that mark by checking Left and Right. Click Hide.

- You can also Copy or Move data on a report. The procedure is similar to Hiding data. Check the Online Help for more specifics (Help --> Contents) on hide, copy, and move.
- After hiding some data, your report should look similar to what is below. To restore the view back to the original, click the Clear View icon (or View --> Clear View from the pull-down menu).

Other useful functions are as follows:
- To change fonts, select View --> Font. The Font dialogue box will appear. Choose desired font and click OK.

- To search for specific text in a document, select Edit --> Find from the menu bar. The Find dialogue box will appear. You can search up or down within the document, as well as choosing a case sensitive search. Enter the string of text in the Find What field and click Find.

- To select another section within an open report, click the Go To icon (or Edit --> Go To from the menu bar). Enter all or part of the section you need. Click the flashlight and then click OK.

- To go back to your report list, you do not have to close down the report that is currently open. Click on Window --> Document Explorer to take you back to your report list to choose another report for viewing.

- To exit DocumentDirect click File --> Exit or the Exit icon (little red door on the far left of the toolbar). You do not have to close any open reports before exiting.

- You can customize your Attach to Server box (see page 1) with your Recipient ID and/or Password. Click on Options --> Configure Document Servers and the Document Servers box will appear. Click Edit.

- The Edit Document Server Access box will appear. You can insert your Recipient ID in the appropriate box (and password, if desired) and click OK. This will save some keystrokes and automatically fill in your Recipient ID each time you log into DocumentDirect. If you insert your password, remember to update this screen when you change your password.

- If you are viewing a report that has a AFP form attached, you may need further information about rotation and fitting the data on the page. Please see the pages that follow for complete instructions.

Supplemental Information for Viewing AFP Images
AFP images can be stored on DocumentDirect, which means a report can be stored with its special form. The UMC Monthly Billing Statement (CSARBL10A) and the Monthly Auction Flyer (PSDEMO10A) are examples of AFP images.
- Locate the report, version and section you need to view, click OPEN and the report and form will appear on your screen (see pages 1 through 7 of this document for these basic instructions).

- Imaged data is sometimes stored in DocumentDirect in an inconvenient manner such as sideways or upside-down. In such cases, the image needs to be rotated for easier viewing.

- This report needs to be rotated counterclockwise. The first Rotation icon will rotate it counterclockwise.
(A clockwise rotation can be achieved by clicking on the second rotation icon.)
- Once the report has been rotated, the orientation may need to be changed and the data sized to fit the page. Go to File --> Printer Setup and verify the orientation.

- If the orientation is changed, the data must be sized to fit on the selected paper. Click on View --> Fit Paper to make this change.

- You are now ready to print. Go to page 9 of this document and continue with the printing instructions. Please note that an imaged document takes longer to print. If you find it taking an extremely long time (more than 5 minutes), check the DPI's (dots per inch) for your printer. The DPI's should be set to 300. The DPI setting is located in different places, depending on your printer. You may need to consult your Network Administrator for help.
