Status Reports
Student Administration - January 2005
Admissions
- Several issues this month with the web application for Admissions, made many additions and corrections to clean up the process.
- Fixed problem with external data loads including modifying the ACT/SAT tape loads
- Hosted PeopleSoft demo of their Customer Relations Module for recruitment and admissions to reps from all campuses, both technical and functional. Consensus was campuses were not interested in this product and will continue to use other vendors
- Working on UMSL Optometry Web Application for Admission
Student Records/Student Financials (People Soft – UMR)
- Continue to add high schools and colleges to the External Organization Table as transcripts or work experience comes in
- Added ability for instructors to download their class rosters to Excel.
- Investigating issues with missing email id's, setting up new SSO id's and self service access
- Made improvements to Joe'SS (self service) for the course catalog and schedule of classes display. Added academic standing pages and display of academic plan to class roster pages. Made changes to the 'Return to Academics' button. Made improvements to the advisor's version of the Student Holds page.
- In the process of modifying an ethnic group value that UM had customized for non resident aliens. In the latest Bundle of patches and fixes from PeopleSoft, they are starting to use the value we had been using but with a different meaning so we have to modify our customization now and find all references to that value.
- Implemented the option to allow parents to pay their students' bill with a credit card. (Previously only the student him/herself could pay by CC).
- Many hours spent on census reporting for CBHE, EMSAS and IR reports. Most of the time was spent validating the reports or crossfooting them to each other.
- Continue spending large amount of time on duplicate emplid records that get created, then have to be merged and one record deleted.
- Implemented customization to automatically calculate and store the GPA at graduation when degrees are awarded. Used Univ of Minnesota code shared with us as the model for the change.
- Created pre-requisite grade checking report.
- Encountered numerous printer problems with trying to print grade reports and class rosters in Rolla. Some issues still to be resolved.
- Completed mods to DARWIN look alike panels in PS so that all degree audit requirements and exceptions are now entered in PS. Downloaded fresh copy of UMKC's DARS related tables into flat file content so they could use them for their project with Ad Astra.
- Testing GL interface and AP refund feed to Finance 8.8
- Made significant changes to Transfer Evaluation report and Transfer Credit posting pages to try to improve usage for users.
- Working on Enrollment History Bolt-on to convert enrollment history from SIS that was originally never planned to be converted to PS. This will allow terms prior to WS2004 to have a complete enrollment history status letter created out of PS with no need to go back to SIS to look up old term information.
Student Records/Student Accounts Receivable (Legacy SIS/CSAR/SAM)
- Support for UMKC Bookstore feed and questions from MU bookstore
- 1098T processing for calendar year 2004. Received extracts from all campuses and all systems who collect educational fees to report on one consolidated 1098T form for the IRS
- Testing CSAR to GL and AP refund feed to Finance 8.8
- Continue work on replacement program for ARTX70 which is the interface to Windstar for 1042S reporting
- Miscellaneous support for UMKC Cashier's office staff during their period of transition to a new manager.
The Housing Director (THD)
- Continue to provide vendor with additional information about Data Interface Module (DIM) scheduling errors; request that DBA delete the Microsoft Access Record-Locking Information file (.ldb) that we suspect is involved in the DIM scheduling problem; notify vendor that deleting the .ldb file and canceling the student import allows the DIM to correctly export daily financial transaction data; provide information to vendor about concurrent processes possibly causing problems; reschedule export of financial transactions and job that formats them for PeopleSoft Student Financials to a later time to avoid conflicts between financial transaction exports and student data import.
- Receive, test, and reject new executable for The Housing Director (THD) that is supposed to correct our future timeframe activity fee proration problems (although new .exe does correct activity fee proration problem, it breaks several other items); receive and test another new version (3.1.2020); this new version finally corrects DEC #1 error; install in each campus' Test and Production instances; notify users.
- Create reports detailing room and meal plan changes since rollover of Fall assignments to Winter so campuses can identify students who may need their data changed in the Winter timeframe.
- Create report detailing Program/Activity Fee billing transactions of cancelled students so campuses can identify students who are awaiting Program/Activity Fee credits.
- Change term in UMR Data Interface Module (DIM) address export to use Winter2005 instead of Fall2004; receive error message from product; notify vendor; change term by going in behind-the-scenes.
- Continue weekly implementation meetings with MU campus; work on proration tables; discuss how THD deals with cancellation fees; determine itemtypes/trancodes that we will want to retain when we move to the new software.
- Report error (DEC #2) to vendor (report criteria being lost when report is saved); provide additional information to vendor that this is only occurring with criteria using the Accounts field; vendor asks me to eliminate right padded spaces from account numbers; this corrects DEC #2 error (report criteria field is only 70 characters long and the criteria name plus the right padded account was more data than the field could handle).
- Work with Production Support to establish roll forward dates to be used when extracting and exporting PS or SIS student data.
- Create new report listing housing charges by room type (to help users identify room rate errors); notify users.
Reschedule monthly ResLife Users Group meeting to accommodate UMKC movein days; conduct meeting and distribute minutes.
- Investigate meal plan cancellation on UMR campus that did not create appropriate charge reversal transaction on the billing tab (problem caused by not setting cancellation date to equal Assignment End Date); email client with information about how to cancel properly; update THD Training Manual to stress this point.
Legacy Residential Life
- Review and rate job applicants for MU's programmer position; participate in interviews with the three finalists.
- Work on specifications for program to process data from MU's online contract offered with Summer Welcome materials.
