BASIC FUNCTION AND RESPONSIBILITY 

The Asset Specialist III performs advanced-level duties in the coordination, management, and tracking of medical and non-medical assets across the organization. Ensures timely receipt, documentation, tagging, and lifecycle tracking of physical assets in accordance with organizational policies and regulatory requirements. Collaborates with departments and vendors to resolve discrepancies and maintain asset data integrity. Serves as a subject matter resource for asset management processes and systems.

ESSENTIAL FUNCTIONS

Coordinates receipt, inspection, tagging, and data entry of incoming assets into the enterprise asset management system. 

Maintains detailed and accurate inventory records, including location, status, ownership, and lifecycle details of assets. 

Investigates and resolves asset discrepancies by working collaboratively with departments, vendors, and finance. 

Prepares and distributes asset reports for audit, compliance, and operational purposes. 

Supports internal and external audits by providing requested documentation and explanations related to asset records. 

Trains and mentors Asset Specialists I and II on department procedures, software systems, and regulatory requirements. 

Communicates with purchasing, receiving, biomedical engineering, and IT teams to ensure consistent asset tracking practices. 

Participates in periodic physical inventory counts, reconciling results with electronic asset records. 

Proposes process improvements to enhance accuracy and efficiency in asset management operations. 

May provide input on updates to departmental procedures and asset control policies. 

May complete unit/department-specific duties as outlined in department documents.

KNOWLEDGE, SKILLS AND ABILITIES 

Knowledge of asset tracking systems, supply chain workflows, and inventory management principles. 

Proficiency with spreadsheet and database software applications. 

Attention to detail with strong analytical and problem-solving skills. 

Ability to communicate clearly and effectively with a wide range of stakeholders. 

Ability to prioritize multiple tasks and meet deadlines with minimal supervision. 

Working knowledge of relevant regulatory requirements related to asset documentation and management.

Supervision is received by Manager, Biomedical and Radiologic Technology Support or designee.

REQUIRED QUALIFICATIONS

High school diploma or an equivalent combination of education and experience from which comparable knowledge, skills, and abilities can be acquired.

Five (5) year of experience in asset tracking, inventory management, or logistics.

PREFERRED QUALIFICATIONS 

Associate's degree in business, logistics, or a related field. 

Experience with enterprise asset management software (e.g., PeopleSoft, Infor, or equivalent). 

Familiarity with regulatory guidelines applicable to healthcare asset tracking and documentation.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met with or without reasonable accommodation. The performance of these physical demands is an essential function of the job. This position is very active and requires ambulating, reaching, and moving objects weighing up to and over 20 lbs.

This role also routinely comes into contact with patients who may have contagious illnesses. This position is in a health care facility open 24 hours a day, 365 days a year. Rotating shifts as well as holiday and work during inclement weather will be required.
