Budget records document the activities of the System and Campus Budget Offices in handling the various budgets of the University. Budget records include, but not limited to, correspondence related to budgets, worksheets/spreadsheets, computer reports, requests for budget and budget changes, approvals, procedures, budget policies, etc. UM System records related to Allocation of State Appropriations are not part of item 1. See item 2. below.
Retain for reference purposes of not less than five (5) years or more than ten (10) years, then destroy.
Records in this series include spreadsheets and other documents related to the decisions made in the allocation of state appropriations.
Retain for fifteen (15) years after end of the budget year the records relate to, and then destroy.
These records are the printed appropriation requests and budget books for the University of Missouri prepared by the System Budget Office.
Transfer two (2) copies to University Archives, transfer one (1) copy to the Campus Budget Offices for reference purposes, and retain one (1) copy in the System Budget Office.
The copies sent to Archives are to be retained permanently. The Campus Budget Office copy is to be retained ten (10) years, and then destroy. The System Budget Office copy is to be retained for twenty (20) years, and then destroy.
This authorization supersedes Records Retention Authorization 84-02.
