Doing Business with DHL

Thank you for your interest in DHL! We look forward to working with you. Below are answers to some commonly asked questions on shipping with DHL. If you have additional questions, please do not hesitate to contact Tanya Block (contact information at the bottom of this page).

How do I request a DHL account with the correct rates?

The University is a member of an organization called Educational and Institutional Cooperative (E&I). This organization provides colleges and universities around the country access to extensive discounts with numerous suppliers, including DHL. Because of the importance of organization, DHL has dedicated a team of people to make sure you are completely taken care of.

To request an account, a set-up form will be on your University's website. If it is not, please contact Tanya Block at 281-885-8779 or email her at Tanya.Block@dhl.com to request one. This form will act as your request. Once the form is completed, email or fax it back to Tanya, and she will begin the process of setting up your account.

If you go through DHL Customer Service to open an account, they will not/can not apply the correct rates or structure to your account. Please make sure to go directly through Tanya Block, Charlotte Fisher, or someone on their team to set-up your account.

The set-up form is asking for an account number -- isn't this form to request a new account?

There are a number of universities that have used Airborne and/or DHL in the past, but have not been receiving the E&I rates. This field allows those account holders to potentially use their existing accounts and convert them to the correct rates. If you do not already have an Airborne or DHL account, you can leave this field blank.

The set-up form asks me to choose between Flat Rates and Zone Rates. What does this mean?

Because departments in universities have very different needs, we have set up different rate structures to accommodate them. Flat rate pricing is best if you are a department that ships all over the country. You will spend the same amount on a package whether you are sending it across the country, or across the city. Zone rate pricing is best for departmen ts that ship in their regional area more than across the country. You will spend a little bit less on a package that goes across the city than if you are sending it across the country.

If you aren't sure which works best for you, leave the boxes blank. When Tanya calls to confirm the receipt of the form, she will go over the information with you and help you figure out what works best for your department.

I have completed the form. Now what?

Once you have completed the form, email it back to Tanya at Tanya.Block@dhl.com. You can also fax it to her at 281-775-1440, but emails are much clearer, if possible.

Once she receives the form, she will call the contact listed on the form to confirm that she has received it. She will go over the information on the form to make sure it is clear. She will also go over your shipping needs, such as supplies and special billing. She will then send the account request to another DHL department.

A new account request takes 24-48 hours to come back from the other department. Once she has your account number, she will email the number to you, as well as call you to confirm that you have it. If you discussed what supplies that you need, she will order those, as well as set up any special billing preferences that you discussed.

I received the email with my account number, and there is an attachment talking about WebShip registration. What is this?

WebShip is DHL's on-line shipping application. This allows you to create air bills, store an address book, track shipments, and pay invoices, all from our website. This is a free service to you, and no software needs to be downloaded to your machine. The form that you received is a walk-through of registering for this service. Below is additional information on this application:

  • Register and ship immediately
  • Bill shipments to a credit card
  • Make informed decisions based on cost and transit time comparisons before selecting a service level
  • Use 'Residential Address Check Box' to indicate if a shipment is going to a residential address
  • Schedule a pick-up or locate a drop box while preparing a shipment
  • Utilize 'Out of Origin' feature for shipping under the same account while you are in a different location; also restore the original account address with a click of a button
  • Store ninety days of shipping records
  • Track, view, edit and void shipments
  • Send an email containing the shipment number, a personal message and a link for tracking
  • Store an unlimited number of receivers in your address book (addresses may be imported)
  • View, print or export various reports
  • Minimize delivery problems. A computer-generated label is much easier for the delivery drivers to read than a handwritten waybill.
 
I have a shipment ready to go. How do I contact DHL to pick it up?

You have several pick-up options available to you. The first is to call into our Customer Service department at 1-800-Call-DHL (800-225-5345). This is considered an On-Demand Pick-Up, and is free to you.

You can schedule a pick-up through our website at www.dhl-usa.com. There is a link to schedule a pick-up right on the home page, or if you are using the WebShip application to create your air bills, you can schedule it as part of the printing process. This On-Demand Pick-Up is also free to you.

If you have a drop box nearby, you can leave the package with the drop box, as long as it is within the size limitations of the box. This option is also free to you.

Finally, there is a courtesy service that we provide for those departments that ship every day, or almost every day. We can schedule a driver to come to your location 3 to 5 days a week to pick up your packages. Two important notes about this service: There is a $7.00 weekly fee for this service; and this service works best for those offices that are shipping often. If the office does not have a package for 3 consecutive times that the driver stops by, he will cancel the service. To sign up for this service, call Tanya at 281-885-8779.

What is the best way to order more supplies?

Your initial supply order will be taken care of by Tanya. When you need more supplies, you have several possibilities. You can call our Customer Service Department at 1-800-Call-DHL (800-225-5345). You can also order them directly from our website at www.dhl-usa.com. Our drivers and drop boxes have some supplies, as well. If you need more pre-printed air bills, the best method is to contact Customer Service.

How can I track my shipment to make sure it arrived?

The fastest way to track your package is through our website www.dhl-usa.com. You can also call Customer Service to track your package. If you are having ANY problems with the tracking results, or there have been delivery issues, call Tanya so she can get DHL management involved to help you solve the situation.

What billing options do I have with DHL?

We have numerous billing options for your department. Here are just a few of the simpler ones.

Our default billing is to send you a paper invoice by mail about every 2 weeks. These can be paid through the University Accounting department with check, or by credit card over the phone with Customer Service (all dependent on how your system works). If paying by check, please make sure that it clearly shows which invoices and account numbers are being paid if several invoices are being paid on one check. This will ensure proper application of funds.

We can set up On-Line Billing for your department. This is part of the WebShip application that we offer on our website. When you register for WebShip, you can request On-Line Billing at the same time. Your charges will then show up on your Shipping Profile, and you can select which shipments/invoices to pay with a credit card over the internet.

Direct Credit Card Billing is also an option. If you would like each individual shipment to be charged directly to a department credit card, we can flag your account with that information. To sign up for this option, please speak with Tanya to get set up.
